Privacy Policy

This policy explains how Data Grid Labs collects, uses, shares and protects your personal information — including when you apply for a role, contact us, or respond to one of our recruitment adverts on social media.

1. Who we are

Data Grid Labs (“we”, “us”, “our”) is a shared-services and digital-services centre based in Kunnamkulam, Kerala, India. We provide finance, HR, procurement, project, commercial and digital-marketing support for an established marine-safety and industrial-automation group in the UAE, and we recruit talented people to join our team.

2. Scope of this policy

This policy applies to personal information we collect when you:

  • Visit or interact with our website;
  • Apply for a job with us, or express interest in working with us;
  • Respond to, or submit a form through, one of our adverts or lead forms on Meta platforms (Facebook and Instagram) or other advertising and social-media platforms;
  • Contact us by email, phone, WhatsApp, or through a form on our website.

3. Information we collect

Information you give us

When you apply for a role or get in touch, you may provide:

  • Your name and contact details (email address, phone number);
  • Your CV/résumé, work history, education, qualifications and skills;
  • The role or area you are interested in and any message you send us;
  • Any other information you choose to include in your application or correspondence.

Information from adverts and lead forms

We run recruitment and marketing campaigns on Meta platforms (Facebook and Instagram) and may use other advertising channels. When you submit an “instant form” or lead form in response to one of our adverts, the platform shares the details you entered — such as your name, email address and phone number — with us so that we can follow up about the opportunity. Your interaction with the advertising platform is also governed by that platform’s own privacy policy (for Meta, see the Meta Privacy Policy).

Information we collect automatically

When you visit our website we may collect limited technical information through cookies and similar technologies, such as your device type, browser, approximate location, referring page and how you use the site. This helps us keep the site secure, understand what content is useful and measure the performance of our adverts.

4. How we use your information

We use personal information to:

  • Assess and process job applications and manage our recruitment process;
  • Contact you about a role you applied for or expressed interest in;
  • Respond to your enquiries and provide the services you request;
  • Operate, maintain, secure and improve our website and campaigns;
  • Comply with our legal, regulatory and internal record-keeping obligations.

We do not sell your personal information, and we do not use it for automated decision-making that produces legal effects about you.

5. Our legal basis

We process your personal information on the basis of your consent (which you give when you submit an application, lead form or enquiry), to take steps at your request before entering into an employment relationship, for our legitimate interests in recruiting and running our business, and to meet our legal obligations. We handle personal data in accordance with India’s Digital Personal Data Protection Act, 2023 and other applicable laws. You may withdraw your consent at any time (see “Your rights” below).

6. How we share information

We treat your information as confidential and share it only where necessary:

  • Within our organisation and the group we support — with colleagues and hiring managers involved in recruitment, on a need-to-know basis;
  • Service providers — trusted third parties who help us run our website, email, hosting, analytics and recruitment operations, under confidentiality obligations and only to provide those services;
  • Advertising and social-media platforms — such as Meta and Google, in connection with delivering and measuring our campaigns;
  • Legal and regulatory bodies — where we are required to do so by law, or to protect our rights, safety or property.

7. How long we keep it

We keep personal information only for as long as necessary for the purposes described in this policy. Recruitment records are retained for a reasonable period so we can consider you for suitable roles, after which they are deleted or anonymised. You can ask us to delete your information sooner at any time.

8. How we protect your information

We use appropriate technical and organisational measures to protect your personal information against unauthorised access, loss, misuse or alteration. No method of transmission over the internet is completely secure, but we work to safeguard your data and limit access to those who need it.

9. Your rights

Subject to applicable law, you have the right to:

  • Access the personal information we hold about you;
  • Ask us to correct or update inaccurate or incomplete information;
  • Ask us to delete your personal information;
  • Withdraw your consent to our processing;
  • Raise a grievance about how we handle your data.

10. Cookies

Our website uses cookies and similar technologies to function correctly, remember your preferences, understand site usage and measure advertising performance. You can control or disable cookies through your browser settings; some features of the site may not work as intended if cookies are turned off.

11. Children

Our website and recruitment activities are intended for adults. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us and we will delete it.

We may update this policy from time to time to reflect changes in our practices or legal requirements. When we do, we will revise the “Last updated” date at the top of this page. We encourage you to review this policy periodically.
